ODA Member Hub
These Terms & Conditions (the "Terms") govern access to and use of the Ontario Defence Association Member Hub (the "Member Hub"), the protected members' area operated by the Ontario Defence Association ("ODA", "we", "us"). By entering your details and selecting "I agree", the individual accepting these Terms (the "Signer") confirms they are authorized to accept them on behalf of the member organization they represent (the "Member"), and the Member agrees to be bound by them.
Access to the Member Hub is available only to organizations that are approved ODA members in good standing, whose membership has been confirmed and whose applicable membership fees are paid. ODA may verify membership status before issuing or maintaining access, and may decline or withdraw access where membership is pending, lapsed, suspended, or unpaid.
Approved Members are issued an access code (a "passcode") that unlocks the Member Hub. The passcode is provided solely for the Member's own authorized personnel — the individuals within the Member's business who need it to use the Member Hub on the Member's behalf ("Authorized Users").
The passcode is confidential and must not be shared, distributed, published, or otherwise disclosed to anyone outside the Member's own business — including to any other ODA member, any other organization, or the public. The Member is responsible for keeping the passcode confidential, for limiting it to its Authorized Users, and for all activity that occurs under it. The Member must notify ODA promptly at info@ontariodefence.ca if it believes the passcode has been shared beyond its Authorized Users, lost, or compromised, so a replacement can be arranged.
ODA may change, reissue, or revoke the passcode at any time — for example, on a periodic rotation, on a suspected disclosure, or when a Member's status changes. ODA expects to move to individual username-and-password logins for members in the future; these Terms will continue to apply to that access, with any necessary updates.
The Member Hub and its contents are provided for the Member's internal business use in connection with its ODA membership. The Member and its Authorized Users may use the Member Hub to view bulletins, member listings, intelligence, resources, and other member materials, and to use member tools such as the Procurement Intelligence Portal.
Some Member Hub areas (such as the Member Network and Membership Directory) display information about ODA members, and may include information the Member has provided. The Member is responsible for the accuracy of information it provides and may ask ODA to update or correct it at any time. Information about other members shown in the Member Hub is shared for member-to-member awareness and connection, and is subject to the restrictions in Section 3.
Bulletins, the Defence Intelligence library, the 2026 Intelligence Briefing, the Capability Atlas (beta), the Procurement Intelligence Portal, the SME Resource Navigator, and similar materials are provided for general information only and are compiled or curated from public and member sources. They are not legal, financial, procurement, or professional advice.
Awareness of an opportunity through the Member Hub does not guarantee eligibility, award, procurement preference, bid success, introductions, or any particular outcome. Members should independently verify requirements, deadlines, and details with the responsible authority or original source before acting. ODA does not control third-party procurement decisions.
Certain features are delivered with third-party providers (for example, the Procurement Intelligence Portal is delivered in partnership with Publicus.ai, and some tools may open on external platforms). Use of those services may be subject to the provider's own terms and privacy practices. ODA is not responsible for third-party services, their availability, or their content.
By providing an email address in connection with Member Hub access, the Member and its Authorized Users consent to receive membership and Member Hub communications from ODA, which may include access information, service messages, bulletins, and updates relevant to members. Members can manage their communication preferences or unsubscribe from non-essential messages at any time; essential service messages relating to access and account administration may still be sent. ODA's communications practices are intended to comply with Canada's Anti-Spam Legislation (CASL).
To administer access, ODA collects and uses the information provided here — including the Member's business name, the Signer's name and role, and the contact email — to confirm membership, issue and manage access, keep records of these Terms being accepted, and communicate with the Member. ODA handles this information in accordance with applicable Canadian privacy law and does not sell it. Questions about privacy can be directed to info@ontariodefence.ca.
ODA may suspend or terminate Member Hub access, with or without notice, if a Member's membership lapses or is not paid, if these Terms are breached (including any sharing of the passcode outside the Member's business), or where ODA reasonably considers it necessary to protect the Member Hub, its members, or ODA. On termination of membership, the right to access the Member Hub ends and the Member must stop using any passcode.
The Member Hub is provided on an "as is" and "as available" basis. ODA does not warrant that it will be uninterrupted, error-free, or that content is complete or current. To the fullest extent permitted by law, ODA is not liable for any indirect, incidental, or consequential loss arising from use of, or inability to use, the Member Hub or its content.
ODA may update these Terms from time to time. If the Terms change materially, ODA will make the updated Terms available to members and, where appropriate, ask members to accept them again. Continued use of the Member Hub after an update means the Member accepts the updated Terms.
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable there, and the parties submit to the courts of Ontario.
